Emailing Resumes

   “Email me your resume,” you’re frequently told. Not a bad idea, because the Internet is becoming the information carrier of choice in this cyber-driven age. But just because you have a resume that looks beautiful on your screen doesn’t mean it will upload seamlessly to your potential employer. 

  Why not? You probably know that a document created in any word processing software on your computer will most likely open using the same program on mine. But what happens if I don’t have the same software program you do?  Your lovely little bullets may be lost, your columns and tabs may be out of place, and occasionally your paragraphs will not be configured quite the same way they were in your original. It’s even possible I won’t be able to open the file at all. 

  There are several solutions to this. One is to assume that the entire business world uses Microsoft Word, and therefore you need to as well. If you don’t have Microsoft Word, buy it. On conversion issues, reviews are mixed with open-source Word-type programs such as 602Text or Open Office (which are wonderful programs, but may work differently than Word). Whatever you do, do not create a resume you intend to email in a desktop publishing program, many of which require the same desktop publishing program to open it on the other end. 

  Another (cheaper) suggestion is to save your document as an RTF (rich text format) file. This preserves most standard text formatting and translates well from computer to computer and platform to platform. There may be slight text deviations (such as the last line on page one “floating” over to page two) but in most cases these will not be serious. 

  You could also have a version of your resume saved as an Adobe Acrobat file. You would need to purchase Acrobat to do this. However, the beauty of this is that once your import your resume into Adobe Acrobat and send it, any computer user willing to download a free copy of Acrobat Reader from the Adobe Corporation can read it, and it’s permanently locked into exactly the appearance you intended. If you later decide to revise or edit the file, you’d have to do it in your native word processing program and create a new Acrobat file, since Acrobat files are not editable. 

  And, for those employers who dislike attachments, you can always copy your resume into Notepad, format it the way you like it (recognizing that bullets will not be an option, and you may have to use the much less appealing dashes or asterisks -- *) and then paste the whole thing into the body of an email.  

  Emailing is a very viable way to get your resume into an employer’s hands easily and fast, so learn to recognize the technical issues surrounding file conversion and you’ll be ahead of the game!
